Governance

General meetings, attendance, proxies, resolutions, voting and minutes.

What it does

  • Recurring meeting series, carrying the venue, format, reminder cadence and minutes access onto every occurrence they generate.
  • Agendas as ordered items with presenters, published separately.
  • Documents attached to a meeting, each with its own read access — everyone, members, or members who checked in — and downloaded rather than circulated.
  • RSVPs covering attendance, apologies and proxy nomination.
  • Attendance by administrator check-in, member self check-in at the venue, or a shareable join link for an online meeting, with a projector display for the room.
  • Minutes adopted at the following meeting, which is what the adoption agenda item records.
  • Proxy nominations with administrator approval.
  • Resolutions that are explicitly opened and closed for voting.
  • Votes recorded per member against each resolution.
  • Minutes moving from draft to approved to published.
  • New member introductions and attendance analytics.

The meeting lifecycle

create → build agenda → publish notice → collect RSVPs and proxies → check in attendees → run agenda → open and close resolutions → draft minutes → approve → publish

The separation of draft, approved and published minutes exists because minutes are usually accepted at the following meeting. Members see them only at the published stage.
