Letting someone manage your account

Inviting an assistant to pay dues, book conferences or update details for you, choosing what they may do, ending their access, and managing someone else's account yourself.

Letting someone manage your account

A personal assistant, a family member or a colleague can look after parts of your account for you — paying your dues, booking conferences, keeping your details up to date. They sign in with their own account and switch to yours when they need to; they never use your password.

  • You keep full access. Nothing about how you use your account changes.
  • They do not become a member of NIWE. Their account is not on the membership roll, is not counted as a member and is not invited to general meetings.
  • You choose what they can do, and you can change it or end it at any time.

Inviting someone

    Press Invite someone, enter their email address, choose what they may do, and optionally an end date and a short message.
  3. Step 3: They accept

    They receive an email with a link. If they have no account with NIWE, the link lets them set one up — without joining. The link works once and expires after two weeks; you can resend it, which makes a new link.

You get an email when they accept or decline.

What each kind of access allows

  • Membership dues — see your membership and cart, and pay your dues and carried-over balances.
  • Payments and pay links — see your payment history and receipts, and make, share or cancel pay links for you.
  • Conferences — register you, manage the seats you hold and download your conference documents.
  • Profile and application — read and change your profile, your membership application and its supporting documents. This is personal information, so it is never switched on unless you tick it.
  • Everything above — all four.

New invitations start with membership dues and payments ticked, which is what somebody who pays your dues needs.

What an assistant can never do

  • Change your password, email address or sign-in settings.
  • Delete your account.
  • Invite other people to manage your account, or change what they can do.
  • Act as an administrator of NIWE on your behalf, even if you are one.

Changing or ending access

In People who can manage my account (opens in a new tab), open the person to change what they can do or their end date, or press End access. Ending it takes effect immediately — anything they try next is refused. Both of you are emailed when access changes or ends.

Every change an assistant makes on your account is recorded. The same page shows Recent activity, and you receive a weekly summary by email in any week they acted for you.

Important

If anything in that activity is not what you expected, end their access first and then contact NIWE.

If you manage someone else's account

  1. Step 1: Accept the invitation

    Open the link in the invitation email. Sign in with the address it was sent to, or set up an account if you do not have one.
  2. Step 2: Switch to their account

    Accounts I manage (opens in a new tab) lists everyone who has given you access; press Manage this account, or use the switcher in the menu at the top of the page.
  3. Step 3: Work as usual

    A banner reads You are managing … account while you are acting for them. Pages you have not been given access to are hidden. Press Return to my account when you are done.

When you pay while managing somebody’s account, the payment is credited to them and their receipt goes to them. To stop managing an account, press Stop managing in Accounts I manage (opens in a new tab).
