Payments, dues and renewals

Paying your membership fee, your cart and unpaid items, removing something you no longer want to pay for, renewing, reading invoices, dues carried over from older membership records, asking someone else to pay with a pay link, paying a link someone sent you, and what to do when a payment fails.

What you pay for

Money changes hands in four places:

  • Membership fees — the fee for your membership category, charged when you join and again each renewal.
  • Conference tickets — per event, sometimes at different prices for members and guests, and sometimes cheaper the earlier you book.
  • Training enrollments — per cohort.
  • Anything else NIWE bills — levies and similar, which appear as items in your cart.

Amounts and currency are set by NIWE; the platform does not impose either.

Making a payment

  1. Step 1: Open Payments

    Payments (opens in a new tab) in the sidebar shows what is outstanding.
  2. Step 2: Review your cart

    Checkout lists each item with its amount, so you can see exactly what you are being charged for before you commit. Once you have been admitted, checkout charges the type NIWE admitted you into — or, if you have asked to move to another one, the type you asked for.
  3. Step 3: Pay

    You are handed to NIWE’s payment provider to enter card or transfer details. The platform never sees or stores your card number.
  4. Step 4: Return and confirm

    The provider sends you back to a confirmation page that verifies the transaction and shows your receipt.

Important

Let the confirmation page finish loading. Closing the tab as soon as the bank says “successful” is the single most common cause of a payment that looks missing — the money has moved but you have not seen the receipt.

Unpaid items and your cart

The cart button at the top of every page, beside the notification bell, lists everything you have chosen to pay for and not paid yet. The number on it counts those things. The same list appears as Unpaid items at the top of Payments (opens in a new tab), and the amount on your dashboard is its total, never more.

It holds two kinds of thing:

  • Your payment cart — a membership fee, dues, a donation or a training place. Pay takes you to checkout for all of it at once, and one payment covers every line.
  • A conference registration you did not finish paying for — shown until the next day, when it drops off on its own. Pay sends you back to the payment page for that same registration, so trying again never creates a second one. If the ticket has sold out or its price has changed since, you are told so and can register again instead.

Remove takes something off the list after you confirm. A membership comes off whole, fees and all. A conference registration comes off whole too, and any seat held for it is given back. Nothing you have already paid for is affected.

Tip

If you have just closed a payment page, removing that item is refused for about fifteen minutes. You may still be partway through paying, and removing it then would leave a payment with nothing to apply to.

A failed attempt is not money you owe. If a payment page failed or you closed it, the item stays in your cart marked as not having gone through; your dashboard does not add the failed attempt on top.

Invoices and receipts

Payment history (opens in a new tab) lists every payment on your account with its date, amount, status and what it covered. Receipts and invoices download from there as PDFs, generated in NIWE’s branding.

Documents are produced in your browser at the moment you ask for them, so they always reflect the current state of your record.

Renewals and coverage dates

Membership runs for a period NIWE defines — most commonly a year, starting from a fixed month rather than your join date. Your coverage dates are shown on your profile and on your certificate.

Where NIWE collects monthly, a payment covers the month you made it in: paying in September covers September, and your cover runs to the start of October. The same holds for a quarterly or half-yearly cycle — you are covered for the period your payment falls inside, not the one the membership year opened with. Your invoice names the exact dates under Billing Period.

As the end of the period approaches the platform sends reminders on a schedule NIWE sets. You can renew before expiry; paying early does not shorten your cover.

A renewal bills the membership type you were admitted into. If that is not the type you expect, you can ask to move to another one from Settings → Profile (opens in a new tab).

When a move is approved as a step up, the new type’s fee starts when your current cover ends, not on the day you pay. A member covered to 31 December who pays in September is buying cover that runs from 1 January. Some organizations also charge a one-off upgrade fee; where NIWE does not, nothing extra appears on your bill.

Life members pay no annual dues from the date their life membership began, and are not offered a renewal. You are emailed when NIWE makes you one, or withdraws it. Dues for periods before that date are unchanged, and anything you still owe from then stays payable on this page.

Note

Many organizations allow a grace period after expiry during which you keep member access while you settle up. Whether there is one, and how long it runs, is NIWE’s decision.

Coming back after a lapse

If your membership ran out some time ago, checkout opens with the number of periods you missed already filled in, and a line saying how many they are. NIWE decides whether those periods have to be settled: most do require them, in which case you cannot reduce the count below what is owed, and the cover you buy is dated from the first period you missed rather than from today.

Some organizations write missed periods off instead. Where NIWE has done that, you pay for the current period only and the count opens at one.

Note

Missed periods are charged at the fee in force now, not the fee at the time. If the figure looks wrong, or you settled part of it offline and it is not reflected, contact NIWE — an administrator can record a payment against a specific period, which is something checkout cannot do.

Dues carried over from older records

If NIWE moved its membership records onto this system from a spreadsheet, and that spreadsheet recorded dues you had not settled, you will see a Dues carried over panel on your payments page listing them year by year.

These come from NIWE’s own records, not from anything you did here. They are shown separately from your current membership for that reason, and settling one does not change your renewal date — they are two different things.

Note

If a figure looks wrong, say so. These numbers were typed out of an older record, and an administrator can correct one or write it off entirely. Contact NIWE rather than paying something you do not believe you owe.

A year shown as written off is closed: NIWE has decided not to collect it, and you will not be asked for it again. Nothing here appears at all if no dues were carried over for you, which is the case for anyone who joined through this site.

Settling them. Tick the years you want to clear and the panel adds them to your cart. You do not have to take them all at once — pick the ones you can settle now and come back for the rest.

Important

This does not renew your membership. Carried-over dues and your current membership period are two different things, and paying one does not move the other. If your membership is also due, renew it separately — the same cart can hold both.

Paying offline

If NIWE accepts bank transfers or cash, pay as instructed and then send your proof of payment to NIWE — by whatever route they gave you with the account details. There is no screen here for logging it yourself: an administrator records the payment against your account and verifies it.

Until that happens the payment sits as pending verification. You will see it in your history with that status, and your membership or your conference seat advances only once it is verified.

Verification is manual, so allow a few working days and keep your proof of payment until the status changes.

Asking someone else to pay

A relative, an employer or a sponsor can pay a bill for you without an account of their own. You make a pay link — a bill fixed to your account — and send it to them.

  1. Step 1: Choose what to pay for

    Where you choose your membership category and how many periods, pick them exactly as if you were paying yourself. For a conference, choose your ticket on the registration page.
  2. Step 2: Ask someone else to pay

    Press Ask someone else to pay. If you want the link emailed to the person, enter their address and an optional note first; either way the link is then made, ready to copy or share on WhatsApp.
  3. Step 3: Follow it

    Pay links (opens in a new tab) lists every link you have made and whether it has been paid. When it is, you get an email saying who paid, and the payment is applied to your account exactly as if you had paid it yourself.
  • The amount cannot be changed by the payer. It is worked out the same way as your own checkout and fixed when the link is made.
  • A link is paid once, and stops working after thirty days unless you choose another date.
  • Lost the link? Open it in Pay links (opens in a new tab) and press Share again. That makes a new link and the old one stops working, so only send the new one.
  • Changed your mind? Cancel link stops it at once, for everyone who has a copy.
  • If the price of what you chose changes before the link is paid, the link asks the payer to get a new one from you rather than charging a different amount. Make a new link.

Note

The person paying sees your name, NIWE’s name and the items on the bill — nothing else about you. Pay links are paid online only; if you want to pay by bank transfer, pay from your own account.

When a payment does not go through

  • Money left your account but the platform shows nothing. Wait a few minutes and reload payment history — confirmations sometimes arrive by a slower path. If it is still missing after an hour, contactNIWEwith the provider’s reference.
  • The payment failed. Nothing was taken. Open the cart at the top of the page and press Pay on the same item to try again, or Remove it if you no longer want it. A failed attempt does not lock anything and is never added to what you owe.
  • You were charged twice. Contact NIWE. Administrators can see both transactions and refund one.
  • You paid but your membership has not moved. If approval comes after payment at NIWE, the wait is the review, not the money.
