Conferences and events

Finding conferences, registering yourself or a group, paying for tickets, the email you get when checked in, giving feedback, and collecting your certificate.

Finding a conference

Conferences NIWE has published appear at /conferences (opens in a new tab), and the current or next one has its own landing page at /conference (opens in a new tab). Each conference page carries the programme, speakers, sponsors, venue, dates and ticket prices.

Not every conference is public. Some are visible only to signed-in members, so the list may be longer once you are signed in.

Registering and paying

Register now on the conference page opens the registration form on a page of its own. Pick a ticket type — organizations commonly offer separate member, non-member and student tickets — and pay through the same checkout as any other payment.

Every attendee on an order chooses their own ticket, so one booking can hold two student places, five associate places and a non-member place together. Add another attendee adds a seat, and each card has its own ✕ to take that person off the booking without disturbing anybody else on it. The order summary beside the form keeps the running total in view as you go. All the tickets in one order must be priced in the same currency; if two are not, book them separately.

Tip

Ticket types can have dated price tiers, so an early-bird rate is genuinely cheaper than the same ticket bought later. If you know you are going, booking early usually costs less.

Your place is confirmed once payment completes. Free conferences skip the payment step and confirm immediately.

Signed in and booking a seat for yourself, you can press Ask someone to pay for my seat instead of paying. That makes a pay link — your employer or sponsor opens it and pays without an account, and the seat is booked in your name when they do. The seat is not held while the link waits, so if the ticket sells out first the link says so. See Asking someone else to pay.

If the payment does not go through, you do not need to register again. The registration waits in the cart at the top of the page until the next day. Press Pay there to finish it, or Remove it. See Unpaid items and your cart.

Your registrations

Events & Conferences (opens in a new tab) lists everything you have registered for, past and upcoming, and is where invitation letters and certificates appear.

Invitation letters

If NIWE has configured them, you can download a formal invitation letter for a conference you are registered for. These are the letters visa applications and employers ask for, addressed to you and issued on NIWE’s letterhead.

Register early if you need one for a visa. The letter cannot be issued before your registration exists.

Where a conference publishes an attendee documents page, your invitation letter, your certificate and the conference materials are all reachable from it using your registration code — useful when you booked as a guest rather than through a member account.

Attendance certificates

A certificate of attendance is issued after the conference has ended, for a paid, confirmed registration in your own name. Some conferences also require that you were checked in at the door; NIWE sets that per conference. Certificates download from Events & Conferences (opens in a new tab).

The name on the certificate is the name on that seat, not the name of whoever paid. If a colleague booked for you, your certificate carries your name.

If you attended but no certificate appears, the usual reasons are that the event has not ended yet, that your payment is still awaiting verification, that the seat was never given your name, or that the conference requires a check-in you did not make. An administrator can confirm which and issue it if the record is wrong.

When you are checked in

When you arrive and your registration code is checked in at the door, you are emailed to confirm it. Keep that email: if the conference issues certificates of attendance, it has a button that takes you straight to the conference’s certificate page with your code already filled in. The certificate can only be downloaded after the conference ends, so the link is for then.

The email also has a link to a short feedback form, if NIWE is collecting feedback for that conference. You can fill it in during the conference, as things happen, or afterwards, and come back to change your answers until 30 days after it ends. Every question is optional.

Your feedback is anonymous unless you tick Share my name with the organizers. The feedback link is personal to you, so please do not forward it.

Seats booked by somebody else

When an employer or a colleague books several places, each seat is held by the buyer until it is assigned to a named attendee. Until a seat carries your name it is not your registration: no invitation letter, no certificate, and nothing to check in with.

Whoever bought the seats can name and rename their attendees, and NIWEcan do it for them. A substitution issues a fresh registration code, so the previous holder’s code and any link built from it stop working — which is what stops a passed-on seat being used twice.

Booking for other people

Add a second attendee and the form asks who is booking, separately from who is attending. Fill that in, and if every seat is for somebody else, leave the box unticked that says I am also attending. You are then recorded as the purchaser without taking a place, which is what keeps the seats — and the certificates — in your colleagues’ names rather than yours.

Once the payment completes, everyone you named is emailed their own registration code and told who registered them, and you get a summary listing every seat, its ticket and its code. Both emails carry a link to the receipt. Yours shows the whole order; theirs shows their own seat and the order total, and nothing about anybody else on the booking.

If you leave a seat unnamed to fill in later, the summary says so. That seat has no attendee until you name it, which means no code, no invitation letter and no certificate for whoever eventually uses it.

If you are not a member

You do not need to be a member to attend most conferences. Press Register now on the public conference page and you will be charged the non-member rate.

Guests can collect certificates without an account: go to /conferences/certificates (opens in a new tab) and enter the email address you registered with. If you registered with a member account you do not need that page — everything is in Events & Conferences (opens in a new tab) already.
