Certificates and documents

Membership certificates, conference certificates and invitation letters: where they are and when they unlock.

What the platform issues

Four kinds of document, all as PDFs in NIWE’s branding:

Membership certificate — proof of membership for the current period.
Conference certificate — attendance at a conference.
Conference invitation letter — a formal invitation for visas and employers.
Training certificate — completion of a course.

Each is optional. If NIWE has not configured a template for one, that document simply is not offered.

Your membership certificate

Your membership certificate is on My Profile (opens in a new tab). It carries your name, membership number, membership category and coverage dates, and is reissued for each period you pay for.

The category printed on it is the one NIWE admitted you into, not the one on your last receipt. Where an organization keeps a different certificate design per category, that is what decides which design you get.

If the category is wrong, or you have become eligible for a higher one, ask to move from Settings → Profile (opens in a new tab). Your certificate changes on the day NIWEapproves the move — not on the day you ask, and not on the day you pay. Until then you keep the certificate for the category you hold, which is the one that is actually true.

Why a certificate may not be available yet

A membership certificate needs all of these to be true:

Your application is approved.
Your fee for the period is paid.
You have been assigned a membership number.
NIWE has configured a certificate template.

Note

The membership number is the step people miss. It is assigned by an administrator and does not always happen the moment you are approved, so a newly approved member can be fully paid up and still be waiting.

The payment condition is the one NIWE can set aside. Where it has chosen to, an approved member with a membership number can download a certificate even with a lapsed or unpaid subscription — and that certificate carries no validity dates, because there is no period it can honestly claim to cover. Approval and the membership number are never set aside.

Downloading and reprinting

Documents are generated when you ask for them, so you can download the same certificate as often as you like and always get the current version. There is no limit and no need to keep a copy safe on the platform’s account.

If a document shows the wrong name or dates, correct the underlying record — usually in Settings → Profile — and download again. Editing the PDF itself is not something the platform supports, and a certificate with altered details will not match NIWE’s records.
